What information we collect

When you place an order, create an account or contact us, we collect:

  • Payment information — processed securely by our payment providers; we never store card details or CVV numbers

We use your information for the following purposes, each with its legal basis:

Who we share your information with

We share your information with trusted third parties only where necessary to operate our business or fulfil your order. These include:

  • Shopify Inc, our ecommerce platform, which processes data via Shopify International Ltd (Ireland) under Standard Contractual Clauses
  • Payment providers including Klarna and Clearpay, for buy now pay later services
  • Courier and logistics partners, to fulfil and track your deliveries
  • AfterShip, to manage our returns portal
  • Zendesk, for customer support
  • Marketing and analytics platforms, including Meta, Google, TikTok and Microsoft, where you have consented
  • SMS marketing platform, Klaviyo Inc, for text message marketing where you have opted in

We do not sell your personal data to third parties. All third party processors are subject to data processing agreements requiring them to handle your data securely and only for the purposes we have specified.

International data transfers

As a UK-based business we process most of your data within the UK and European Economic Area. Some of our third party processors, including Shopify, transfer data to the United States and other countries. Where this occurs, we ensure appropriate safeguards are in place, including Standard Contractual Clauses approved by the UK Information Commissioner's Office and the European Commission, and the UK International Data Transfer Agreement (IDTA) where applicable.

Your rights

Under UK GDPR you have the following rights regarding your personal data:

Please note that we do not alter our Site’s data collection and use practices when we see a Do Not Track signal from your browser.

Data Transfer

Please be informed that V3 Apparel may transfer and process your Personal Information outside of the UK and the European Economic Area (EEA). While some countries have adequate protections for personal data under applicable laws, in other countries V3 Apparel will take the necessary steps required to ensure appropriate safeguards are in place and that all applicable laws and regulations are complied with in connection with such transfer. An example of this would be through our e-commerce platform provider and data processor, Shopify Inc. A Canadian based company which provides services and processes date from users around the world. As a UK based company, Personal Information collected by V3 Apparel within the EEA is processed by Shopify's Irish affiliate, Shopify International Ltd. but as part of their service and commitment to data protection, Personal Information from customers and users within the EEA may be transferred out of the EEA to other regions including Canada and The United States. In order to ensure that your information is protected when transferred outside of the EEA, Shopify relies on the EU-U.S. and Swiss-U.S. Privacy Shield frameworks which were designed by the U.S. Department of Commerce, the European Commission and Swiss Administration to provide companies with a mechanism to comply with data protection requirements when transferring personal data from the European Union and Switzerland to the United States.

Additionally, if you are located in the EEA, we note that we are generally processing your information in order to fulfil contracts we might have with you or otherwise to pursue our legitimate business interests listed above unless we are required by law to obtain your consent for a particular processing operation. In particular, we process your personal data to pursue the legitimate interests listed above, either for ourselves, our users and customers, our partners or other third parties.

Data Retention

We retain your personal data for as long as necessary to fulfil the purposes set out in this policy. Our standard retention periods are:

  • Order and transaction data — 6 years to comply with HMRC requirements
  • Customer account data — for the duration of your account plus 2 years after closure
  • Marketing data — until you withdraw consent or unsubscribe
  • Customer support records — 3 years from the date of the interaction

Minors

Our website and products are not intended for children under the age of 13. We do not knowingly collect personal data from children under 13. If you believe we have inadvertently collected data about a child under 13 please contact us immediately at support@v3apparel.com and we will delete it promptly.

If you are aged 13 to 15 we will seek consent from a parent or guardian before processing your personal data for marketing purposes.

California residents

If you are a resident of California you have additional rights under the California Consumer Privacy Act (CCPA), including the right to know what personal information we collect, the right to delete your personal information and the right to opt out of the sale or sharing of your personal information. Security

We take the security of your personal data seriously. Our website uses SSL encryption for all data transmitted between your browser and our servers. We have fraud detection systems in place and regularly review our security procedures. We will never ask you for your payment details or bank account information by email.

Social media and photo tagging

When you use our hashtags (#V3Apparel, #V3Women) or tag us (@V3Apparel, @V3Women) on social media, you give us consent to feature your photos on our website, social channels and to link products shown in your images. If you would like a photo removed please contact us at support@v3apparel.com.

Klarna

In order to be able to offer you Klarna's payment options, we will pass to Klarna certain aspects of your personal information, such as contact and order details, in order for Klarna to assess whether you qualify for their payment options and to tailor the payment options for you.

Mobile Terms of Service

The V3 Apparel mobile message service (the "Service") is operated by V3 Apparel (“V3 Apparel”, “we”, or “us”). Your use of the Service constitutes your agreement to these terms and conditions (“Mobile Terms”). We may modify or cancel the Service or any of its features without notice. To the extent permitted by applicable law, we may also modify these Mobile Terms at any time and your continued use of the Service following the effective date of any such changes shall constitute your acceptance of such changes.

By consenting to V3 Apparel’s SMS/text messaging service, you agree to receive recurring SMS/text messages from and on behalf of V3 Apparel through your wireless provider to the mobile number you provided, even if your mobile number is registered on any state or federal Do Not Call list. Text messages may be sent using an automatic telephone dialing system or other technology. Promotional messages may include promotions, specials, and other marketing offers (e.g., cart reminders).

You understand that you do not have to sign up for this program in order to make any purchases, and your consent is not a condition of any purchase with V3 Apparel. Your participation in this program is completely voluntary.

We do not charge for the Service, but you are responsible for all charges and fees associated with text messaging imposed by your wireless provider. Message frequency varies. Message and data rates may apply. Check your mobile plan and contact your wireless provider for details. You are solely responsible for all charges related to SMS/text messages, including charges from your wireless provider.

You may opt-out of the Service at any time. Text the single keyword command STOP to V3Apparel or click the unsubscribe link (where available) in any text message to cancel. You'll receive a one-time opt-out confirmation text message. No further messages will be sent to your mobile device, unless initiated by you. If you have subscribed to other V3 Apparel mobile message programs and wish to cancel, except where applicable law requires otherwise, you will need to opt out separately from those programs by following the instructions provided in their respective mobile terms.

We may change any short code or telephone number we use to operate the Service at any time and will notify you of these changes. You acknowledge that any messages, including any STOP or HELP requests, you send to a short code or telephone number we have changed may not be received and we will not be responsible for honoring requests made in such messages.

The wireless carriers supported by the Service are not liable for delayed or undelivered messages. You agree to provide us with a valid mobile number. If you get a new mobile number, you will need to sign up for the program with your new number.

To the extent permitted by applicable law, you agree that we will not be liable for failed, delayed, or misdirected delivery of any information sent through the Service, any errors in such information, and/or any action you may or may not take in reliance on the information or Service.

Changes to this policy

We will update this policy from time to time to reflect changes in our practices or legal requirements. When we make significant changes we will notify you by updating the date at the top of this page.
